Quickly Create Products On-The-Fly

Steersman Odoo’s Feature: Quick Product Creation gives businesses the flexibility to procure and track products that are not nor will be added to their Product Catalog. For example, ordering a product on behalf of a customer or procuring a product from a special vendor requested by the customer.

This feature utilizes a pre-configured template to route, track, and report products of this nature, while also minimizing misconfiguration mishaps that may occur when creating a product on the fly. This allows the sales team to effectively manage their sales orders while removing unnecessary pressure from the warehouse team to quickly create and configure the product, especially if this item will NOT be added to the business’s catalog.

The Quick Product Creation feature allows businesses to:

• Quickly create a product on-the-fly using a pre-configured template (special product template) to prevent product misconfiguration, and reduce time and resources usually required to develop a catalog product.
• Maintain special product stock levels and valuation separate from regular inventory
• Use Special flags/classification on the special product template to allow for clear tracking and reporting
• Provide an Intuitive interface for sales users to input the necessary information to procure the special product

Quick Product Create Template

The quick product creation template will have its own product category, allowing for differentiation between special products and regular items in inventory. The user can also configure special income and expense accounts to track the stock valuation in a separate account, if desired.

By default, the product template is configured to purchase any special product created on the fly. So, when the sales order is confirmed, Odoo will trigger a PO to be able to receive the product into the warehouse before it is sent to the customer or if needed, the sales team will be able to use Odoo’s standard sale order level routes functionality to request that a special product is dropshipped to the customer instead.

Add a Special Product to a Sales Order without Product Cores

The sales order will have a special button called +ADD A SPECIAL PRODUCT that can be used to create a product on the fly.

The salesperson will need to provide the basic information related to the product so that the PO can procure the product from the correct vendor at the expected cost. This cost can be adjusted later on the draft purchase order (PO) that is created for the sales order.

When the information is filled out, click CREATE PRODUCT.

Add a Special Product with Product Cores

If the special product being created needs a product core, select YES to input the core cost. Fill out the required fields like the product name, vendor, and vendor cost before clicking CREATE PRODUCT.

Add a Special Product and use an Existing Product Core

If the special product should be linked to an existing core, select Advanced, then click Add A Line under the Cores tab. This will enable the salesperson to associate an existing core with the special product. This core’s charge is already defined in its record, so the salesperson will only need to worry about linking the correct core and indicating if this product has more than one core associated with it.

Once the salesperson fills in the product’s name, vendor, and vendor cost, click CREATE PRODUCT.

Confirming the SO will generate a Purchase Order

Once the items have been created, they will be dropshipped from the vendor to the customer per the route configuration set on the sales order group.

In the list below, we see that a PO was created for each special product made on the fly on the sales order. These POs will enable users to manage how special products are processed, depending on their routes. In this case, the user set a special route on the sale order line level indicating that these items will be dropshipped, but if the sales user does not put any special routes on the sale order lines, then Odoo will generate a PO to bring the items into the warehouse and delivery orders to ship the product to the customer.
