Manage eBay Sales Directly from Odoo with Steersman’s eBay Integration

Ebay integration

Managing eBay alongside Odoo can create extra work when inventory, orders, and fulfillment details have to be maintained in two separate systems.

Our eBay integration for Odoo is designed to reduce that duplication by allowing Odoo to handle the operational side of your eBay sales. Inventory availability can be sent from Odoo to eBay, marketplace orders can be brought into Odoo for processing, and shipment details can be returned to eBay after fulfillment.

The result is a more connected workflow where your Sales, Inventory, and warehouse teams can continue working in Odoo while key marketplace information is exchanged automatically.

How Our Integration Fits into Your eBay Workflow

The integration focuses on three main areas:

  • Keeping your eBay inventory aligned with stock in Odoo
  • Bringing eBay orders into Odoo for your normal sales and fulfillment processes
  • Returning shipping and tracking information to eBay once an order has shipped

The integration also includes controls for product matching, order confirmation, delivery information, synchronization errors, and duplicate prevention.

Linking eBay Listings to Your Odoo Products

Before inventory can be synchronized or an imported order can be processed correctly, your eBay item needs to be associated with the correct Odoo product.

By default, the integration expects the eBay SKU to correspond to the product’s Internal Reference in Odoo. Products that are not linked to a valid eBay listing or do not have a usable SKU mapping are excluded from inventory updates.

For incoming orders, we support both automatic and manual product mappings.

If no match can be found for an eBay SKU, the order line can fall back to a configured eBay Default Product. This allows the order to enter Odoo without incorrectly assigning it to another item and gives your team a clear exception to review.

Odoo Controls the Inventory Quantity Sent to eBay

Inventory synchronization is intentionally one-directional for stock quantities.

Odoo remains your inventory system of record, and eBay receives the quantity calculated by Odoo. Stock values from eBay are not used to overwrite inventory inside Odoo.

You can choose which warehouse locations contribute to the quantity advertised on eBay. That inventory can come from a single warehouse or from multiple warehouses combined.

The quantity itself can be calculated with a configurable formula using stock values such as:

  • Quantity On Hand
  • Reserved Quantity
  • Other available inventory variables
  • A configurable safety buffer

A typical calculation might be:

Available Quantity = On Hand - Reserved - Buffer

A safety buffer is useful when you want to leave some inventory unadvertised to reduce the chance of overselling across multiple sales channels.

If the calculated amount is negative, it is treated as zero. When inventory reaches zero, the integration sends a quantity of 0 to eBay so the product is shown as unavailable.

The Integration Updates Existing Listings

Our eBay integration is not intended to create marketplace listings.

It does not create new eBay listings or publish products to the marketplace. Inventory updates are limited to products that have already been configured and linked to an eBay listing.

This makes your product setup and SKU mapping an important part of the integration configuration.

Scheduled Inventory Updates

Inventory synchronization can run automatically at a configurable interval.

Depending on your needs, synchronization can run:

  • Hourly
  • Several times per day
  • Daily

This gives you control over how frequently your eBay availability is refreshed from Odoo.

The currently documented scope supports eBay US inventory synchronization.

Bringing eBay Orders into Odoo

New eBay orders can be imported through a scheduled synchronization job and converted into Odoo Sales Orders.

The order synchronization can be configured to apply a specific:

  • Customer
  • Shipping address
  • Pricelist
  • Pricing source
  • Tax source

When those values are not configured, the integration can fall back to standard Odoo behavior.

Imported orders remain tied to their eBay source, and the synchronization logic includes protections against creating duplicate orders or duplicate order lines.

Handling Your eBay Buyer and Shipping Information

You can choose to route all of your eBay orders through a configured customer record or allow Odoo to build customer information from the individual eBay buyer.

When no fixed customer is configured, the integration can create partner information from the buyer details and use the delivery address supplied in the eBay fulfillment instructions.

If the normal shipping destination is unavailable, the buyer’s registration address can be used as a fallback.

This gives you flexibility in how your marketplace customers are represented inside Odoo.

Choose Where Your Pricing and Taxes Come From

Our integration does not require you to use one specific pricing model.

You can choose whether Odoo or eBay provides the order pricing and tax values.

When Odoo is selected as the source, your Sales Order can rely on your normal Odoo pricing and tax configuration.

When eBay is selected, line prices come from the marketplace order, and applicable eBay tax information is brought into Odoo. The integration can account for taxes reported on the order, including amounts that eBay collects and remits.

Choose Whether Imported Orders Confirm Automatically

Not every imported marketplace order needs to move immediately into fulfillment.

We provide an Auto-Confirm Orders setting that determines how your imported eBay orders are handled.

If auto-confirmation is turned off, orders remain as Quotations until someone on your team reviews and confirms them.

If auto-confirmation is enabled, Odoo checks inventory before confirming the order. Every order line must have enough stock in the applicable warehouse before the Sales Order is confirmed.

If even one line is short, the order remains in Quotation status.

You can also prevent auto-confirmation when an order contains the eBay Default Product, ensuring that unmatched items receive manual attention before fulfillment continues.

How Changes to an eBay Order Are Handled

The integration tracks the content of imported eBay orders so it can recognize when the marketplace order changes.

If nothing has changed, no update is needed.

If the related Odoo order is still in draft, it can be rebuilt using the updated eBay information.

Once your Sales Order has already been confirmed, our integration takes a more cautious approach. The order is not automatically rewritten. Instead, the change is posted to the Odoo Chatter and the salesperson is notified for review.

This helps protect confirmed orders from being modified unexpectedly after warehouse processing may already have begun.

Bring Your eBay Delivery Commitments into Odoo

Important marketplace shipping details can also be stored with your Sales Order.

The integration can retain information such as:

  • Shipping carrier
  • Shipping service
  • Expected delivery date
  • Ship-by date

These eBay values can then be mapped to the appropriate internal Odoo delivery method.

The integration also stores eBay delivery and shipping deadlines, giving your Sales and warehouse teams visibility into the marketplace’s fulfillment expectations.

Reporting Fulfillment Back to eBay

Once your warehouse completes the customer delivery in Odoo, our integration can send a shipment confirmation back to eBay.

That confirmation may include:

  • Tracking number
  • Carrier
  • Shipping service
  • Shipment date
  • eBay line items
  • Quantity shipped

Shipment information is only sent after the order has actually been shipped.

If the eBay order is already marked as fulfilled, no additional confirmation is sent. A confirmation is also withheld when tracking information is missing.

Supporting Orders That Ship in More Than One Package

Our integration can represent multi-package deliveries as separate shipment confirmations.

Each physical package can send its own fulfillment details to eBay, including the tracking information and order items associated with that package.

If your Odoo delivery is not split into packages, the shipment is treated as a single package.

This helps ensure that the fulfillment information shown on eBay matches what actually left your warehouse.

Exception Handling and Auditability

Automated marketplace connections need visibility when something cannot be processed normally.

Our eBay integration records inventory synchronization details such as:

  • Quantity sent to eBay
  • Products that were skipped
  • Why a product was skipped
  • Synchronization failures

These events are logged and kept traceable for operational review.

Shipment confirmation activity is recorded as well, including whether a confirmation was sent or skipped.

This gives your team and our support team a clearer starting point when investigating issues.

Run Your eBay Operations from Odoo

The main goal of our eBay integration is to let Odoo remain your working system for order processing and warehouse fulfillment while eBay stays synchronized with the information it needs.

Your inventory availability originates in Odoo, your eBay orders flow into Odoo for processing, and your completed shipments flow back to eBay with the appropriate tracking information.

If you use eBay alongside other sales channels, this reduces the need to maintain separate manual workflows and gives your team a more consistent way to manage marketplace orders from within Odoo.
